On Time, On Budget, Implementation by Experts
AFS Technologies utilizes a time-proven industry leading implementation methodology based upon the knowledge and understanding of the client´s specific business needs. The Professional Services Team is comprised of Certified Project Managers and experienced consultants who provide continuity, preciseness, expertise and exceptional customer service. Constant communication is the key to success in any implementation, and weekly updates based on the timeline, budget, project plans and milestones are provided throughout the step-by-step process.
A Statement of Work is created for each project which defines the client´s responsibilities and tasks for each phase as well as timeline review, budget and other miscellaneous details of the project.
The implementation process is as follows:
Contract Signing and Sourcing Hardware: Contracts are finalized including the implementation timeline, resources needed and hardware requirements are determined. The project is formally handed off to the Professional Services Department for implementation.
Hardware Installation:
Once the hardware requirements agreed upon, the hardware and accompanying software installation will begin by the AFS Technologies engineering team. At the same time, Systems Administration training will take place.
Project Planning:
The detailed project plan is essential for a successful implementation. The project plan will include:
Project scope, objectives, milestones, and critical success factors
Project structure organization roles and Advanced Enterprise ERP responsibilities
Implementation strategy, project management, and technical plan
Strategies for education, training, data conversion, and customization
Over the course of the implementation, adjustments may be necessary to the project plan, however all changes will be approved by both AFS Technologies and the client, then documented within the Project Scope Change section.
Business Definition:
In this phase, AFS Technologies will correlate and apply the Advanced Enterprise ERP process to determine the best fit for the client. Food industry best practice adherence recommendations are provided by the Client Services team.
System Setup/Master File Conversion:
Client specific options are now set up and put into place. Data conversion into Advanced Enterprise will also occur during this phase.
Team Lead Process Training and Acceptance:
During this phase, all Team Leads will receive hands on training to familiarize themselves with the new system as it applies to their company´s data. This will also allow them to complete the system review and acceptance.
Conference Room Pilot 1/Integrated Testing:
Here, the team leads run an integrated test to ensure all data runs smoothly and seamlessly throughout the entire system and subsystems.
End User Training:
Training now extends from the Team Leads to each end user, ensuring proper use and application of the system for the main users.
Conference Room Pilot 2:
Here, the end users orchestrate the daily business processes to ensure the objectives of End User Training was achieved.
Parallel Testing:
During this testing phase, the new system is set to represent a realistic day in the client´s company. High volume areas are pressed and system processes are pushed to ensure there are no delays or snags before the system is turned live.
Cutover:
Typically occurring over a weekend, all data is converted including critical information such as inventory, AR, AP, history and master files. An AFS Technologies consultant will be on-site and available to assist in the process so the system is will be running flawlessly come business open Monday morning.
Go-Live Assistance:
An AFS Technologies consultant is recommended during the Live Cutover. Any issues that arise during the Cutover can be quickly resolved before the system goes into full use.
Post-Live Review:
30 to 60 days following the system launch, it is recommended that the system be reviewed and tested again to search for previously unforeseen requirements or issues. Additional days of service may be necessary to address any issues to ensure proper system execution.
Once the implementation process is completed, the system will then be turned over to customer service for standard maintenance and service requests.
